Coordinating volunteers at a food pantry or meal program
Community kitchens and food pantries depend on volunteers who change every week. The challenge is not only “finding people” but knowing how many show up each shift so you can buy food, set tables, or pack boxes. A public booking portal reduces chaos without requiring every volunteer to learn a complex system.
Why per-day capacity matters
If you open sign-ups without limits, more people may register than you can supervise. If you close without notice, you lose willing hands. Schedule days with a maximum headcount balance both: volunteers see if space remains and you see in real time how many spots are open.
The hourly Coverage view helps when the kitchen runs multiple blocks (for example prep 8:00–10:00 and service 11:00–2:00).
Recommended setup
Create a location with a clear name (“Main Street Community Kitchen”). For each service day, set date, hours, and capacity. If you only operate on Tuesdays, activate those Tuesdays on the calendar several weeks ahead (Lite allows up to 90 days into the future).
In your organization’s public message you can explain dress code, parking, or orientation. That text appears on the portal with the day calendar.
Recruit and retain volunteers
Share the link on social channels, partner networks, and entrance posters. The QR code helps people who discover the program on service day and want to return as volunteers.
Anyone who already booked can look up their sign-up with the same phone under “Check my booking”, cutting down “Am I signed up for Tuesday?” calls.
Interest list when a day is full
When a day fills, the optional future-interest form (in Settings) captures name and phone for people who want to help later. Those contacts appear under Volunteers so you can invite them when a new shift opens.
Lite vs Pro for meal programs
Many programs run at a single site: free Lite is often enough (one location, unlimited volunteers, bilingual portal). If you manage multiple sites or need coordinators with dashboard access, Pro adds extra locations, team accounts, and data export.
